fib SYMPOSIUM 2019
The registration of participants is binding. However, please consider the cancellation policy and refunds as well as the disclaimer below. Please note that the Symposium program may be subject to changes.

Symposium Fees

All the fees given on the Symposium website are final and binding. Reduced rates are available for fib/PCCE Members, students and Ukrainian Citizens. Your fib/PCCE membership number or student’s ID number will be requested when registering and paying for the Symposium at the reduced rate.

All fees are quoted inclusive of the required sales tax, where required.

Symposium fees include: participation in the Symposium programme, all Symposium materials (Symposium bags, a copy of the proceedings, a book of abstracts etc.), lunches/coffee breaks during the Symposium and the welcome reception. Symposium Gala Dinner which will take place on 28 May 2019is extra paid. Accommodation is not organised through the Symposium but information on accommodation in Krakow is available here.

Registration fee for accompanying persons includes participation in the Symposium programme,lunches/coffee breaks during the Symposium and the Welcome Reception. For accompanying persons interested in sightseeing tours, information will be available soon on the Symposium website.


Registration for the Symposium will close on 20 May 2019. Registration for Symposium Gala Dinner will close on 20 May 2019. If maximum capacity is reached before this date, the Gala Dinner registration will be closed prior to this deadline.

Participation is not guaranteed until the full payment of the registration fee is received.


Participants will receive a confirmation email from Symposium Registration System after successful Symposium registration.

Modification or Additional Tickets

If you wish to modify or purchase additional “tickets” for Welcome Reception or Symposium Gala Dinner*, please contact the Symposium Office.

*This event has limited availability. Places will be given to those who pay first.


If you are unable to attend, you are welcome to nominate someone else to attend in your place at no additional cost. Please advise substitutions by writing to the Symposium Office. Please note:
  • Any substitution that is not communicated in writing will not be considered valid.

  • Financial matters must be handled between the registered individual who is not attending and the individual who is substituting.

Cancellation Policy and Refunds

We understand that participants who have registered for the Symposium may have to cancel their registrations due to unforeseen circumstances. While we try to accommodate cancellations to the best of our ability, any cancellation, especially late ones, put Organizing Committee in a difficult situation. Due to the size of the Symposium, we have to make many of our arrangements well in advance and therefore cancellations come at a cost to Organizing Committee. Consequently, the fib Symposium 2019 Organizers have developed a cancellation and refund policy that takes into account the needs and preferences of the Symposium and the participants. As such, please note that cancellation requests for an already confirmed registration will be processed according to the following schedule.

Cancellations need to be made in writing to the Symposium Office with the Cancellation Form attached (DOC file, PDF file). Emails without the completed form will not be considered. Taxes are not refundable. Symposium Gala Diner fee is fully refunded before 30 March 2019 (after this date the fee will not be refunded).

If regular participant (not author) decides not to attend the Symposium the participation fee will be refunded as given below:
  • Full refund – 80 EUR of an administrative fee will be withheld: before 28 February 2019
  • 50% refund: before 30 March 2019
  • No refund: after 30 March 2019
Authors may cancel up to 28 February 2019 and the participation fee will be refunded in 100% (only administrative fee of 80 EUR will be withheld). After this date, the fee for authors is not refundable because the fee covers the publication costs. The participation fees are owed upon registration and are payable within 7 days following submission of the registration (but not later than 7 days before the starting day of the event).

We are not responsible for the potential differences in the exchange rate. If payment has already been made, credit card disputes cannot be used to obtain a refund. In order to receive a refund, you have to follow the procedure described above.

In the event that the Symposium is cancelled by the fib Symposium 2019 Organizing Committee, or for any reason or any factor out of the control of the Organizing Committee, such as force majeure, natural disasters, weather conditions, acts of terrorism, or any other cause beyond the control of the Organizing Committee, which results in fib Symposium 2019 not taking place; the Organizing Committee will try to make all possible efforts to reschedule the Symposium. In such cases, it is entirely the decision of the Organizing Committee to decide on the refunds of the registration fee. The liability of the organizers shall be limited to the refund and they shall not be liable for any other loss, cost or expense, however caused, incurred or arising. In particular, fib Symposium 2019 organizers shall not be liable to refund any travel or hotel costs incurred by participants or their organizations.

Participants and accompanying persons are advised to take out comprehensive insurance, including travel insurance.


The fib Symposium 2019 Organizing Committee will not accept any liability for death, injury, any loss, cost or expense suffered for any person (including accompanying persons or partners or attendant caregivers) in or outside of the Symposium venue. In particular, the organizers will not accept any liability for losses arising from the provision or non-provision of services provided by hotel companies or transport operators. Nor can the organizers accept liability for losses suffered by reasons of war, including threat of war, riots and civil strife, terrorist activity, natural disasters, weather, fire, flood, drought, technical, mechanical or electrical breakdown within any premises visited by participants and/or accompanying persons in connection with the Symposium, nor losses suffered for reasons of industrial disputes, governmental action, registrations or technical problems, which may affect the services provided in connection with the Symposium.

The fib Symposium 2019 Organizing Committee reserves the right to use any photograph/video taken at any event, without the expressed written permission of those included within the photograph/video. The fib Symposium 2019 Organizing Committee may use the photograph/video in publications or other media material produced, used or contracted by the fib Symposium 2019 Organizing Committee including but not limited to brochures, invitations, books, newspapers, magazines, television, and websites.
